The successful applicant will be involved with:

The primary function of this job is to effectively coordinate any shipments related to our Malaysia office. To include import / export / domestic shipments by any mode of transport, but with a strong focus on our ocean freight business. There will be additional administrative duties related to this role as determined by the company management, including not directly related to a specific shipment, such as ISO related tasks.

• Operational Tasks
• Understand the shipment scope from start to finish and the SOPs that cover that shipment, errors or discrepancies on any part of the shipment to be proactively resolved to secure the best outcome for the customer and company;
• Ensure that suppliers are approved for compliance and are working to the highest possible standards;
• Input the shipment into the Blu system at the earliest opportunity and ensure daily updates where necessary;
• Ensure that all appropriate shipping documents are issued correctly and in a timely manner. Documents must be checked before sending outside of Bertling;
• Booking Confirmations that clearly indicate our terms and conditions and the scope of work being undertaken should be issued for each shipment;
• Understand the costs and sales related to the scope of work and ensure that any discrepancies or changes are immediately identified and appropriate action taken;
• Where appropriate and possible, negotiate better rates with vendors for live shipments;
• Check and understand financial requirements of the shipment in relation to credit terms and ensure that the company is always protected;
• Costing and billing tasks to be managed correctly and as quickly as possible and KPIs to be met;
• File should be clean, in order and self audited before passing to the management team for closing in line with KPIs.
• If there are concerns about meeting any of the above requirements, then they must be immediately highlighted to the management team who will guide you on how to proceed.
• Customer Service
• It should be understood that customer service is essential to our business and can be what differentiates us from our competitors. We must always seek to offer the very highest level of service to all customers (both external and internal) and we must be 100% professional at all times
• Proactive shipment updates to customers, so they don’t need to ask us.
• Timely email responses to all emails - holding messages where required.
• Regular phone calls and verbal communication with customers.
• Team Synergy
• Work closely with peers in our local Pricing, Sales, Management to achieve the best outcome for each shipment and customer
• To be sales centric and always look for opportunities to develop business whether that is directly or via passing leads to Sales colleagues in Malaysia / overseas.
• Work closely with our management team so that we can monitor and develop our product portfolio;
• Work in partnership with the entire team to enhance the overall company
