Marketing & Tender Coordinator/Assistant for Bertling in Hamburg

The successful applicant will be involved with:

Responsibilities – Tendering

  • Tender coordination tasks ranging from assisting in reviewing the initial request to tracking and help managing the tender process to submitting the final bids
  • Help overhauling the corporate tendering library from updating/enhancing templates, developing new templates, building up a tender FAQ to share knowledge and many more
  • Coordinate the tender process within the tender team, help setting deadlines + follow up on them and on the assigned responsibilities
  • Help keeping existing registrations with clients’ procurements platforms up to date + actively manage new registrations + keep an overview of these registrations and related information
  • Communicate internally, prepare for and attend internal kick-off calls and kick-off meetings for each bid and help assigning resources and tasks
  • Help improving internal tender communication processes, e.g. on bids we are working on, key target projects, bid status updates + the award announcements
  • Help collecting feedback from purchasers when tenders are unsuccessful
  • Strive for continuous improvement of the overall tender process
  • Attend weekly sales call with top management + global sales team
  • Keep central tender overview platform up to date + develop it further

 

Responsibilities – Marketing

  • Assist in developing, maintaining and administrating tender templates and corporate data in line with other marketing material
  • Report to Group Head of Marketing & Communication and assisting in the daily work
  • Help in maintaining existing marketing material (e.g. presentations) and help developing new ones
  • Review and format bid drafts on the corporate proposal template in order to comply with Bertling’s CI/CD guidelines and client requirements
  • Communicate with employees on the available marketing material, corporate information and tender process and help to improve the global process based on the information and procedures available on the intranet + raise the awareness for new systems we are implementing, e.g. Bertling Tender Portal


The successful applicant will have/be:

  • Higher education and university degree
  • Excellent English communication skills both written and verbal; additional language skills advantageous
  • Proficient in Word, Excel, Outlook and PowerPoint + agile Project Management techniques
  • Tech-savvy in updating in-house tools, like our new CRM
  • Positive, can-do attitude, with the ability to work under pressure to tight deadlines
  • Prior experience with providing administrative support, ideally in a sales or commercial environment
  • Excellent organizational skills
  • Eye for detail
  • Self-starter able to work independently on own projects and in teams
  • Flexible and adaptable
  • Good telephone presence
